Student mobilities – Traineeship for recent graduates (SMP), General Information for the Prospective Applicants

Objectives of the Erasmus+ mobility for Traineeship for recent graduates:

• to stimulate and intensively support the education and training of university students and fresh graduates through practical traineeships abroad
• to apply the theoretical knowledge and practical skills acquired in the student's study field in a specific work environment
• to acquire new knowledge and skills and strengthen key competencies such as effective communication and communication in a foreign language, intercultural competence, teamwork, organizational skills, problem solving, information literacy, creativity, etc.
• to expand the qualification profile of students and fresh graduates, contribute to their professional and personal growth and increase their attractiveness in terms of employability

Types of the Trainneships:

Conditions for applying for an Erasmus+ mobility for Traineeship for recent graduates: 

  • the minimal length of an Erasmus+ mobility for long - term traineeship is 2 months, 
  • the maximum financial support is provided for 2 months, duration over 2 months is possibble with zero grant,
  • students can benefit of an exchange abroad with Erasmus+ multiple times, either as a student or as a trainee, but their total time abroad may not exceed 12 months within one cycle of study (in case of one-cycle study fields, e.g. medicine of dentistry the total time is 24 months)
  • the duration of a traineeship by recent graduates counts towards the 12 months maximum of the cycle during which they apply for the traineeship
  • the receiving organisation can be:
    • o any public or private organisation active in the labour market or in the fields of education, training and youth:
      • a public or private, a small, medium or large enterprise (including social enterprises);
      • a public body at local, regional or national level;
      • a social partner or other representative of working life, including chambers of commerce, craft/professional associations and trade unions;
      • a research institute;
      • a foundation;
      • a school/institute/educational centre (at any level, from pre-school to upper secondary education, and including vocational education and adult education);
    • a non-profit organisation, association, NGO;
    • a body providing career guidance, professional counselling and information services;
    • a Programme Country HEI awarded with an ECHE.
  • the following types of organisations are not eligible as receiving organisations for student traineeships:
    • EU institutions and other EU bodies including specialised agencies (their exhaustive list is available on the website)
    • organisations managing EU programmes such as Erasmus+ National Agencies (in order to avoid a possible conflict of interests and/or double funding).

Application Process:

  • Contact the Erasmus coordinator of your faculty/department/institute. The list of Erasmus coordinators at UPJŠ is available on the following website.
  • Find out the terms and conditions of the selection procedure. The criteria and deadlines are set by the faculties/departments/institutes.
  • Applicants for an Erasmus+ mobility for recent graduates must be selected by the UPJŠ in their last year of study and must complete this traineeship within one year of completing their studies.
  • The receiving organisation should be contacted by the student or by the faculty/department/institute.
  • The receiving organisation should be able to ensure at least a 2-month traineeship for long-term mobilities and at least 5 days a short-term mobilities in the study field of the student or in the digital skills.
  • The student needs to verify whether the receiving organisation (or the program of the traineeship, which is ensured by this organisation) is suitable for the given study field.
  • As soon as the results of the selection procedure are published, follow the instructions for the selected students  (see: “Information for the selected students”)

General Rules:

  • Students can benefit of an exchange abroad with Erasmus+ multiple times, either as a student or as a trainee, but their total time abroad may not exceed 12 months within one cycle of study (in case of one-cycle study fields, e.g. medicine of dentistry the total time is 24 months)
  • In case the student is interested in an Erasmus+ mobility multiple times the minimum duration of each mobility must be maintained (study - 2 months, long – term traineeship- 2 months, short – term traineeship – 5 days).
  • The duration of a traineeship by recent graduates counts towards the 12 months maximum of the cycle during which they apply for the traineeship.
  • A mobility is considered as successfully finished, only if the student/graduate achieves the results that are in accordance with his/her Learning Agreement for Traineeships. The student/graduate's obligation is not only to stay abroad for the period of his/her mobility, which is specified in his/her Grant Agreement, but also to fulfil the goals that were set in the approved Learning Agreement for Traineeships. In case the student/graduate fails to fulfil the goals that were set in the approved Learning Agreement for Traineeships, the university may ask the student/graduate for a full or partial refund of the financial support awarded.
  • If the student/graduate does not meet the minimum requirements due to force majeure, i.e. any unforeseeable exceptional situation or event beyond the student/graduate's control, which prevents him/her from fulfilling any of his/her obligations under the Learning Agreement, s/he is required to report the situation immediately to the International Relations Office of the UPJŠ. Subsequently, the IRO evaluates the reported situation and determines whether it may be considered a force majeure or not.

Types of traineeship mobility:

  • long-term professional traineeship with min. duration of 2 months (for all levels of study)
  • long-term traineeship for enhancing digital skills with min. duration of 2 months (for all levels of study)
  • long-term traineeship for recent graduates with min. duration of 2 months, while the traineeship can be professional or aimed at digital skills (for the recent graduates of BA, MA, PhD studies)

  • The rules of the call are governed by the rules of Directive no. 1/2020, which establishes the procedure for the administration of the Erasmus+ programme at the Pavol Jozef Šafárik University in Košice and its components (available in Slovak).
  • The processing of applications, checking of documents and entered information and evaluation within the faculties is the responsibility of the individual faculties.

  • In case of student mobility for traineeships the receiving organisation can be:
    • any Programme Country public or private organisation active in the labour market or in the fields of education, training, youth, research and innovation. For example, such organisation can be:
      • a public or private, a small, medium or large enterprise (including social enterprises);
      • a public body at local, regional or national level;
      • embassies or consular offices of the sending Programme Country;
      • a social partner or other representative of working life, including chambers of commerce, craft/professional associations and trade unions;
      • a research institute;
      • a foundation;
      • a school/institute/educational centre (at any level, from pre-school to upper secondary education, and including vocational education and adult education);
    • a non-profit organisation, association, NGO;
    • a body providing career guidance, professional counselling and information services;
    • a Programme Country HEI awarded with an ECHE.
  • Situations, which are mainly linked to the epidemiological situation and which should require an exception to the rules of this call, are evaluated by the Erasmus Commission of the university (e.g. postponing the original mobility period to a period which no longer falls within the implementation period of this call).
  • The university will provide the participant of a long-term traineeship for recent graduates with a grant of a maximum amount covering 2 months of physical mobility abroad.

The mobility participants with fewer opportunities are entitled to a top-up amount of € 250 / month above the basic grant.

Students can opt for green travel. In this case, they will receive a single contribution of EUR 50 as a top-up to the individual support and, if necessary, a maximum of 4 days of additional individual support to cover travel days  for a return trip.

Financial Support

The financial support is not intended to cover all the costs of a traineeship abroad, but to cover part of the increased mobility costs. It is necessary therefore to think about additional financial participation, or try to agree with the employer. The lump sum per month includes both the student's subsistence and travel costs.

Information on contributions for mobility participants within the Erasmus+ program beyond the basic grant rates

I. Contributions for mobility participants with fewer opportunities

  1. Mobility participants with fewer opportunities are entitled to a contribution above the level of the basic grant rate in the amount determined by the SAAIC national agency for each call and for each type of mobility in the given call separately.
  2. The Erasmus+ program guide defines a participant with fewer opportunities as follows: "A person with fewer opportunities is a potential participant whose personal, physical, mental or health condition does not allow him to participate in a mobility project/action without additional financial or other support."
  3. The program guide presents the following list of possible barriers to mobility:

Disability: This includes a physical, mental, intellectual or sensory impairment which, interacting with various barriers, may prevent some people from participating fully and effectively in the life of society on the same terms as other people.

 ➢ Health problems: Barriers can result from health problems such as serious illnesses, chronic diseases or any other physical or mental conditions preventing participation in the program.

Barriers related to education and training systems: Barriers may be faced by individuals who, for various reasons, find it difficult to achieve satisfactory results in education and in the training systems, people who have left school early, people who are not employed and are not in the process of education or training, and adults with low skill levels. Although other factors may play a role, these difficulties in education, which may also be related to their personal situation, mostly result from an education system that creates structural limitations and/or does not fully take into account the special needs of the individual. Individuals may also face barriers to participation when the structure of curricula makes a study mobility or a training mobility difficult.

Cultural differences: Although cultural differences can be perceived as obstacles by people of any background, these differences can particularly affect people with fewer opportunities. Such differences can represent significant barriers to education in general, but even more so for migrants or refugees (especially newly arrived migrants), people belonging to a national or ethnic minority, users of sign language, people with language difficulties adaptation and cultural inclusion, etc. Exposure to foreign languages and cultural differences while participating in any program activities may discourage individuals and to some extent limit the benefits of their participation. Such cultural differences may even discourage potential participants from applying for support under the program altogether, thus representing a barrier to participate.

Social obstacles: Difficulties with social adaptation, such as limited social competences, antisocial or high-risk behaviour, (former) offenders, (former) drug or alcohol users or social marginalization can be obstacles. Other social obstacles may result from family circumstances, e.g. if somebody is a parent (especially a single parent), caregiver, breadwinner or orphan, or if the person has been or is currently in institutional care.

Economic obstacles: An obstacle can be an economic disadvantage, which can be a low standard of living, low income, studying while working, dependence on the social security system in case of long-term unemployment, problematic situations or poverty, homelessness, debt or financial problems, etc.

Discrimination-related barriers: There may be barriers that are the result of discrimination related to gender, age, ethnic origin, religious or philosophical belief, sexual orientation, disability or intersectional factors (in combination with two or more of the other discrimination-related barriers listed).

Geographical barriers: Living in remote or rural regions, small islands or peripheral/outermost regions, suburbs, areas with limited services (limited public transport, insufficient facilities) or less developed areas in third countries, etc. can be an obstacle.

  1. Financial support for a participant with fewer opportunities consists of an additional flat-rate amount of individual support (so-called "top-up"), while in justified cases, if the grant will not be sufficient, it is possible to request the national agency for additional support based on real costs (special grant).
  2. The rule for allocating an additional amount (so-called "top-up") of individual support for participants with fewer opportunities: based on the participant's request, while the participant is obliged to deliver all mandatory documents to the mobility coordinator at the UPJŠ International Relations Office in sufficient time before the mobility. The types of the required documents for the individual categories of disadvantages are listed in Table no. 1.
  3. The special grant is provided in the form of real costs. It is intended to cover additional costs incurred by participants with fewer mobility opportunities in cases where the top-up (flat rate) would not be able to cover these costs. These costs are specifically intended to cover the extra financial support required for participants with physical, mental or medical disabilities to enable them to participate in mobility.   4. Special grant allocation rule: the university will be able to apply to the national agency for special grants for its students/employees by the deadline specified in the special call. The application of the university must contain the requests of individual mobility participants of the given university. Participants will be informed about the possibility to apply for a special grant in sufficient time. They can apply for a grant using the application sent to them by the faculty/institute/departmental coordinators as soon as the national agency publishes its call.
  5. Examples of real costs:

➢ allowance for transport (e.g. rental of a special motor vehicle, if the person in question is dependent on individual transport by personal motor vehicle, or such transport is provided by an authorized person/municipality/social service provider) to/from, as well as at the location (e.g. if the person in question is unable to use public transport, whether due to physical or psychological limitations);

➢ allowance in case the mobility participant needs assistance or care (e.g. compensation for a person who provides personal assistance on the basis of a written contract or for a family member in case of care);

➢ allowance for travel and accommodation for the accompanying person;

➢ material support for participants – special didactic aids, special medical supplies, etc.

  1. In the case of participants where the sending institution is not a Slovak university (incoming participants within KA171) and who cannot prove themselves in a similar way, the national agency accepts the confirmation of the sending institution that the given participant belongs to a group with fewer opportunities.

 

II. Contribution for green travel

  1. Mobility participants have the opportunity to ask the university for a one-time contribution for green travel in the amount of 50 EUR in addition to the regular grant, if the participant uses: train, bus, carpooling (shared car), bicycle or their combination.
  2. The condition for awarding the grant is that the participant makes most of his/her journey in ONE DIRECTION to and/or from his/her mobility in a green way.
  3. In order to grant a contribution, it is necessary to proceed in the following way:
  • a) The mobility participant will hand over to the mobility coordinator at the International Relations Office of UPJŠ a Declaration of Honour before or after mobility, in which s/he specifies the means of transport used for the journey to the place of mobility and home.
  • The mobility participant is obliged to attach a travel ticket as proof of the green method of travel and a confirmation of payment to the Declaration of Honour. The date of departure and arrival must follow the mobility period. CARPOOLING IS ONLY POSSIBLE IF THE APPLICANT TRAVELS TO THE MOBILITY IN THE SAME CAR, AT THE SAME TIME, TO THE SAME PLACE TOGETHER WITH AT LEAST ONE OTHER MOBILITY PARTICIPANT WHO IS ALSO A UPJŠ STUDENT.
  • On the basis of the submitted documents, the university will allocate the participant a contribution for green travel, which will be added to the total amount of the mobility grant. If necessary, s/he will adjust the amount of the allocated grant in the financial agreement, and then ensure its transfer to the participant's bank account.

III. Allowance for travel days in case of green travel

  1. Participants of a short-term mobility can be assigned max. two days of individual support for travel days. If students and recent graduates use sustainable means of travel for a long-term mobility, they can be allocated additional days (max. 4 days) of individual support for travel days as well.

 

In the event that the total travel time, including transfers, exceeds 24 hours, the participant can claim additional individual support to 1/30 of the monthly rate of the given country as follows:

1 day: 24 to 48 hours on the road
2 days: 48h to 72h
3 days: 72h to 96h
4 days: more than 96 hours on the road

An increase in the grant is possible on the basis of travel tickets (in the case of travel by train or bus), or on the basis of a vignette and confirmations of payments at petrol stations.

 

 

On 12 June 2020, a note from the European Commission came into force, which regulates some aspects of the implementation of virtual and mixed mobility within the Erasmus + program.

  1. Physical mobility

Based on the measures of the Public Health Authority of the Slovak Republic, as well as information from the Ministry of Education, Science, Research and Sports of the Slovak Republic, student mobilities can be implemented. We recommend to follow the measures of the Public Health Authority of the Slovak Republic in the event of a threat to the public health. At the same time, we draw attention to the continuing need to monitor the current development of the epidemiological situation on the website of the Public Health Authority of the Slovak Republic , border restrictions and entry conditions on the website of the Ministry of Foreign and European Affairs of the Slovak Republic and continue to comply with the recommended safety and hygienic measures.

  1. Combined mobility (virtual and physical mobility)

In case it is not possible to complete a physical mobility at an institution abroad, we recommend to plan/implement a combined mobility (combination of virtual mobility at the beginning and a subsequent physical mobility).

In this case the following rules apply:

  • The mobility participant is not entitled to a grant for the virtual part of the mobility.
  • The mobility participant is entitled to a grant for the physical part of the mobility
  • The minimum duration of the mobility must be respected
  • Interruption between the virtual and physical parts of the mobility is allowed (no continuity is required).
  • After completing the mobility, the participant will receive a certificate covering the entire mobility period (virtual + physical part). 

 

  1. Virtual mobility

Please note that it is recommended to primarily plan a physical mobility or a mixed mobility. In cases where it is not possible to implement physical or combined mobility at an institution abroad, it is possible to complete a virtual mobility under the following conditions:

  • A virtual mobility participant residing in the home country is not eligible for a grant
  • If a participant participates in virtual mobility but is physically present in the destination country in justified cases, he or she is entitled to individual support. This applies to rare cases, where the mobility had been properly planned on both sides, but during the participant's journey, the university suddenly decided, for safety reasons, to provide only distance learning.
    After completing the mobility, the participant will receive a certificate of virtual mobility.

 

  • The aim of the On-line linguistic support is to improve the language skills of Erasmus+ students/graduates in those languages, in which they will study or work.
  • OLS offers language assessments and language courses during the long – term mobilities, which are longer than 2 months and for the short – term mobilities for PhD. students, which are longer than two weeks.
  • OLS is available in the following languages: English, German, French, Italian, Spanish and Dutch. Later other languages were added: Czech, Greek, Danish, Swedish, Polish, Portuguese, Finnish, Bulgarian, Croatian, Hungarian, Romanian and Slovak.  The latest languages that were added to the list are: Estonian, Lithuanian, Latvian, Irish (Gaelic), Maltese, and Slovenian, which are available only for the lower language levels right now.
  • The language assessment is carried out at the beginning of the mobility and at the end, and it is compulsory at the beginning of the mobility for the students. The language courses are optional for the students, and they are available before and during the mobility. Further information...
